1. Who We Are

The Youth4Nation Foundation ("Youth4Nation", "we", "us" or "our") is a nationwide, not-for-profit initiative to "Engage and Inspire" the youth, primarily in the Colleges and Universities of India, with the mission to inculcate National pride in the minds of our youth about our great culture, heritage, philosophy, ancestors, history and the great strides that India is making in modern times.

Youth4Nation operates the website https://youth4nation.in and is the Data Fiduciary in respect of the personal data described in this Policy, as that term is defined in the Digital Personal Data Protection Act, 2023 ("DPDP Act").

2. Scope of this Policy

This Policy explains what personal data we collect from you, why we collect it, how we use, store, share and protect it, and the rights that you have over it. It applies to:

  • Your use of the Youth4Nation website and all of its pages.
  • The Youth4Nation Member Enrollment form.
  • The Youth4Nation Speaker Enrollment form.
  • The Youth4Nation Member's Area, including the Member profile, Member identity card and Invitation Letter services.
  • Any e-mail or other correspondence that you send to us at [email protected].

3. Personal Data We Collect

We collect only the personal data that you yourself choose to give us. We do not buy personal data about you from any third party, and we do not build profiles about you from external sources.

(a) When you apply for enrollment as a Youth4Nation Member, we collect:

  • Mandatory: your name (with salutation), e-mail address, phone number, your preferred Youth4Nation Member ID, a copy of a Photo Identity Document, your home State/UT, and the role(s) you volunteer to perform.
  • Optional: your profile photograph, an emergency/family contact number, your residential address, your date of birth, your gender, the name of the person who referred you, and your brief introduction including your occupation or professional background.

(b) When you apply for enrollment as a Youth4Nation Speaker, we collect:

  • Mandatory: your name (with salutation), e-mail address, phone number, your home State/UT, and your speaker profile or brief introduction (typed in the form or uploaded as a document).
  • Optional: your profile photograph and your professional headline.

(c) When you use the Youth4Nation Member's Area, we process:

  • Your e-mail address and name, and a session identifier stored in your browser as a cookie, so that we can keep you signed in.
  • One-Time Passwords (OTPs) sent to your e-mail address, which we store only in an irreversible hashed form and only until they expire.

(d) Technical data:

  • Standard web server logs generated by our hosting provider, which may include your IP address, browser type, the pages you requested and the time of the request. These logs are used only to keep the website secure and available, and to diagnose faults.

We do not collect payment card or bank account details on this website. Donations to Youth4Nation are made by a direct bank transfer using the account details published on our Donate page, and are processed entirely by your own bank.

4. Why We Collect Your Personal Data

In accordance with Section 6 of the DPDP Act, we collect only such personal data as is necessary for the specified purposes below, and we use your personal data only for these purposes:

  • To process your application for enrollment as a Youth4Nation Member or Speaker, and to assess your suitability for the role(s) you have volunteered for.
  • To verify your identity and your e-mail address, including by sending an OTP to the e-mail address you provide, so that fraudulent and duplicate applications can be prevented.
  • To create and maintain your membership record, to allot you a Youth4Nation Member ID, and to generate your Youth4Nation identity card and Invitation Letters.
  • To publish your approved Member or Speaker profile on the public listings of the website, as described in Section 6 below.
  • To contact you about the status of your application, about Youth4Nation events, lectures and speaking engagements, and to respond to any query that you send us.
  • To contact your emergency contact, if you have chosen to provide one, in the event of an emergency involving you at a Youth4Nation activity.
  • To keep our website and records secure, to prevent misuse, and to comply with any applicable law or a lawful order of a court or authority.

We do not use your personal data for automated decision making that produces legal effects concerning you, and we do not use it for advertising or profiling.

5. Consent and Legal Basis

We process your personal data on the basis of the free, specific, informed, unconditional and unambiguous consent that you give us by ticking the consent checkbox on the Member or Speaker enrollment form, in accordance with Section 6 of the DPDP Act. Ticking that checkbox is a clear affirmative action signifying your agreement to the processing described in this Policy for the specified purposes.

The consent notice on the enrollment form, read together with this Policy, is the notice required under Section 5 of the DPDP Act. It tells you what personal data is being collected, the purpose for which it will be processed, how you may exercise your rights, and how you may complain to the Data Protection Board of India.

Giving us your personal data is entirely voluntary. However, we cannot process an application for membership or for enrollment as a speaker without the mandatory data listed in Section 3 and without your consent, because that data is necessary for the purposes set out in Section 4.

Where we are required to retain or disclose personal data to comply with a law in force in India, or to respond to a lawful order, we process it on that basis as a legitimate use under Section 7 of the DPDP Act.

This Policy is available in English. On a written request sent to [email protected], we will provide the substance of this notice in Hindi or in any other language specified in the Eighth Schedule to the Constitution of India, as required by Section 5(3) of the DPDP Act.

6. Public Display of Member and Speaker Profiles

If your application is approved, some of the data you have given us is displayed publicly on this website, so that the youth, Colleges, Universities and host institutions of India can find and invite Youth4Nation Members and Speakers. Specifically:

  • On the Members listing, we may display your name, profile photograph, home State/UT, brief introduction and the role(s) you have volunteered for.
  • On the Speakers listing, we may display your name, profile photograph, professional headline, home State/UT and speaker profile.

We never publish your e-mail address, your phone number, your emergency contact number, your residential address, your date of birth or your Photo Identity Document. These are kept confidential and are used only internally for the purposes in Section 4.

If you do not wish your profile to be displayed publicly, or wish to have it removed, please write to [email protected] and we will act on your request.

7. Sharing and Disclosure of Personal Data

We do not sell, rent or trade your personal data to anyone, for any purpose, at any time.

We share your personal data only in the following limited circumstances:

  • With our Data Processors: our website hosting provider and our e-mail service provider, who process personal data only on our instructions, under a contract, and only to the extent needed to run the website and to send you e-mail.
  • With host institutions: where you are enrolled as a Youth4Nation Speaker, your published speaker profile may be shared with the College, University or institution that invites you, so that your session can be arranged.
  • Where required by law: to any court, tribunal, regulator or government authority, where disclosure is required by a law in force in India or by a lawful order.
  • To protect rights and safety: where disclosure is necessary to prevent fraud or a threat to the safety of any person.

Your personal data is stored on servers located in India. We do not transfer your personal data to any country or territory outside India that has been restricted by the Central Government under Section 16 of the DPDP Act.

8. Cookies and Browser Storage

We use only strictly necessary cookies and browser storage. We do not use advertising cookies, tracking pixels or third-party analytics cookies.

  • Session cookies (sid, uid and un): set only after you sign in to the Youth4Nation Member's Area, to keep you signed in. They are marked Secure, are scoped to youth4nation.in, and expire when your session ends.
  • Local storage on the enrollment forms: so that you do not lose your work, the Member and Speaker enrollment forms automatically save the text you have typed (but never your profile photograph or your identity document) in your own browser's local storage. This data stays on your device, is never transmitted to us until you submit the form, and can be erased at any time by clicking the "Reset" button on the form or by clearing your browser data.

You may block or delete cookies through your browser settings. If you block the session cookies, you will not be able to sign in to the Member's Area, but the rest of the website will continue to work.

9. How Long We Keep Your Personal Data

  • Approved Members and Speakers: we retain your personal data for as long as you remain a Youth4Nation Member or Speaker, and for a reasonable period thereafter as required to maintain our organisational records and to comply with applicable law.
  • Applications that are not approved or are withdrawn: we erase the personal data in the application once the outcome has been communicated to you and the period for any reconsideration has passed, unless retention is required by law.
  • OTPs: stored only in hashed form and erased on expiry or use.
  • Server logs: retained only for the limited period necessary for security and fault diagnosis.

In accordance with Section 8(7) of the DPDP Act, we erase your personal data when you withdraw your consent, or when it is no longer necessary for the purpose for which it was collected, unless its retention is necessary for compliance with any law in force in India.

10. How We Protect Your Personal Data

As required by Section 8(5) of the DPDP Act, we take reasonable security safeguards to prevent a personal data breach. These include:

  • Serving the entire website over an encrypted HTTPS connection.
  • Verifying every application through an OTP sent to your e-mail address.
  • Storing OTPs and session secrets only in an irreversible hashed form, never in plain text.
  • Restricting access to identity documents and to internal member records to the authorised office bearers of Youth4Nation who need that access to perform their duties.
  • Blocking direct public access to our internal data, identity document and profile directories.
  • Taking regular backups and applying security updates to our systems.

No method of transmission or storage is completely secure. In the event of a personal data breach, we will notify the Data Protection Board of India and every affected Data Principal, in the form and manner required under Section 8(6) of the DPDP Act.

11. Your Rights as a Data Principal

Under Chapter III of the DPDP Act, you have the following rights in respect of your personal data. You may exercise any of them, free of charge, by writing to [email protected] from the e-mail address in your application:

  • Right to access information (Section 11): to obtain a summary of the personal data we hold about you, the processing activities we have undertaken with it, and the identities of any other Data Fiduciaries and Processors with whom we have shared it.
  • Right to correction and erasure (Section 12): to have inaccurate or misleading personal data corrected, incomplete personal data completed, personal data updated, and personal data erased where it is no longer needed for the purpose for which it was collected.
  • Right of grievance redressal (Section 13): to a readily available means of registering a grievance with us, as set out in Section 15 below.
  • Right to nominate (Section 14): to nominate another individual who may exercise these rights on your behalf in the event of your death or incapacity.
  • Right to withdraw consent (Section 6(4)): as set out in Section 13 below.

We will respond to any such request within a reasonable period, and in any case within the period prescribed under the DPDP Act and the rules made under it. We may ask you for information reasonably needed to confirm your identity before acting on a request.

12. Your Duties as a Data Principal

Section 15 of the DPDP Act places certain duties on you as a Data Principal. In particular, you must not impersonate another person while providing your personal data, must not suppress any material information while providing personal data for any document or identity proof, must not register a false or frivolous grievance or complaint, and must furnish only information that is verifiably authentic while exercising your right to correction or erasure.

13. Withdrawal of Consent

You may withdraw your consent to our processing of your personal data at any time, and it will be as easy to withdraw your consent as it was to give it. To withdraw, simply write to [email protected] stating that you wish to withdraw your consent.

On receiving your withdrawal, we will stop processing your personal data and erase it, and we will cause our Data Processors to do the same, unless retention is required by a law in force in India.

Please note that:

  • A withdrawal of consent does not affect the lawfulness of any processing that we carried out on the basis of your consent before it was withdrawn.
  • Because we cannot maintain an application or a membership without the data described in Section 3, a withdrawal of consent will result in the closure of your pending application, or in the removal of your Member or Speaker profile and the cessation of your membership, as the case may be.

14. Children and Persons with Disability

Youth4Nation membership and speaker enrollment are intended for adults. In accordance with Section 9 of the DPDP Act, if you are below eighteen years of age, you must not submit an enrollment form without the verifiable consent of your parent or lawful guardian. Similarly, personal data of a person with disability who has a lawful guardian may be provided only with the verifiable consent of that guardian.

We do not undertake any tracking or behavioural monitoring of children, and we do not direct any advertising at children.

If we become aware that we have collected the personal data of a child without verifiable parental or guardian consent, we will erase that data promptly. If you believe that a child has submitted personal data to us, please write to [email protected].

15. Grievance Redressal and Contact

If you have any question about this Policy, or any grievance about the way in which your personal data has been handled, please contact our Grievance Officer:

Please mark your e-mail clearly as a "Data Privacy Grievance" so that it is routed correctly. We will acknowledge your grievance and respond to it within the period prescribed under the DPDP Act and the rules made under it.

If you are not satisfied with our response, or if we do not respond within the prescribed period, you have the right to complain to the Data Protection Board of India constituted under Chapter V of the DPDP Act, in the manner prescribed by it.

16. Links to Other Websites

This website contains links to websites operated by others, such as document and form services used for our lecture and volunteer sign-ups, and search results for the subjects of our talks. This Policy does not apply to those websites. We encourage you to read the privacy policy of every website you visit.

17. Changes to this Policy

We may update this Policy from time to time, for example to reflect a change in the way we work or a change in the law. The date at the top of this page always shows when it was last updated. Where a change materially affects the purposes for which we process your personal data, we will seek fresh consent from you before acting on that change.

18. Governing Law

This Policy is governed by and shall be construed in accordance with the laws of India, including the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000 together with the rules made under them. The courts at New Delhi shall have exclusive jurisdiction over any dispute arising out of or in connection with this Policy.
